1. Acceptance of Terms

By using our website, submitting a form, booking an appointment, creating an Odoo account, or renting any floral products, you agree to these Terms of Use. If you do not agree, please discontinue use of our site and services.


2. About Sherpa’s Floral Rentals

Sherpa’s Floral Rentals is a premium silk floral rental company serving the Greater Dallas–Fort Worth area and up to 1.5 hours beyond DFW.

We offer:

  • Pre-made floral collections

  • Custom floral arrangements

  • Centerpieces, arches, aisle florals, bouquets, and sweetheart florals

  • Delivery, setup, styling, teardown, and pickup services

  • A private 4,000 sq ft showroom for in-person floral selection


3. Booking, Deposits & Payments

Appointment Requirements

All showroom visits and consultations require appointments. Walk-ins are not accepted.

Booking Confirmation

Your booking is confirmed only when:

  • A deposit is paid

  • A contract is signed

  • Your order is entered into our Odoo system

Payment Methods

We accept:

  • American Express

  • Google Pay

Deposits

Deposits are non-refundable unless stated otherwise in your rental contract.


4. Rental Use & Care

Ownership of Rentals

All florals and decor items remain the property of Sherpa’s Floral Rentals at all times.

Client Responsibilities

You agree to:

  • Not take rentals home

  • Prevent guests, children, or vendors from moving or damaging items

  • Follow all displayed and communicated care guidelines

  • Allow our team to perform all setup and teardown

Lost or Damaged Items

Any item that is lost, stolen, or returned damaged may result in replacement or repair charges based on item value and current inventory.

Inventory categories include: Olivia, Dre’s, Sophie, Boho, Red Package florals, wreaths, ground arches, arches, centerpieces, etc.


5. Custom, Pop-Off, and Pre-Made Floral Rules

Pre-Made Rentals

Clients may select from in-stock floral designs displayed in our showroom, including premade inventory such as:

  • Olivia collections

  • Dre’s collections

  • Sophie collections

  • Boho package

  • Red package

  • Moon Arch, Column Arch, Cloud Circle Arch, etc.

Custom or Pop-Off Orders

Custom and pop-off options follow precise workflows, inventory checks, and color availability based on our internal floral box and rack inventory system.

Sample & Revisions

  • Standard clients: 1 revision

  • Premium clients: 2 revisions

Finalization Rules

At the Finalization Meeting (4 months prior):

  • All colors, florals, quantities, and placements are locked in

  • Late changes may incur additional fees due to inventory limits

  • Major changes are not allowed after this meeting


6. Delivery, Setup & Pickup

Service Area

We deliver within DFW + 1.5 hours.

Day-Of Access Requirements

You must provide:

  • Accurate venue address

  • Correct setup windows

  • Planner or point-of-contact

  • Any venue restrictions

Delays caused by inaccurate or missing information are not our responsibility.

Pickup

Our team returns after your event to collect all rentals. Full inventory checks occur upon return using our internal rack system.


7. Odoo Client Portal & Communication

We use Odoo for:

  • Scheduling

  • Invoicing

  • Digital contract management

  • Project tracking

  • Client communications (standard)

  • Private premium client group chat access

Your use of the client portal is subject to Odoo’s system terms in addition to our own.


8. 9-Step Client Workflow Acknowledgment

By booking with us, you acknowledge our official Sherpa’s Floral Rentals 9-Step Workflow, including:

  1. Lead Capture

  2. Appointment Scheduling

  3. Consultation & Booking

  4. Verification (Critical Step)

  5. Premium Group Chat (if applicable)

  6. Sample Creation & Revisions

  7. Finalization Meeting (Critical Step)

  8. Pre-Event Confirmation

  9. Event Day Execution & Closeout

This workflow ensures accuracy, inventory readiness, and day-of success.


9. Intellectual Property

All photos, floral designs, arrangements, descriptions, and branding—including showroom florals—are the intellectual property of Sherpa’s Floral Rentals.

Clients may not:

  • Copy our designs

  • repost photos without credit

  • Recreate florals for commercial use


10. Website Use & Restrictions

You agree not to:

  • Use the website for unlawful purposes

  • Attempt to disrupt Odoo or website operations

  • Scrape, copy, or reproduce inventory or product listings

  • Interfere with website functionality


11. Limitation of Liability

Sherpa’s Floral Rentals is not responsible for:

  • Venue-related delays

  • Incorrect information provided by the client

  • Setup obstructions caused by other vendors

  • Weather interference


  • Miscommunication caused by venue staff

  • Unauthorized movement of florals by others

Our liability is limited to the total amount paid for your rental order.


12. Privacy

We only use your information as described in our Privacy Policy, which governs:

  • Odoo communication

  • CRM data

  • Consultation and booking details

  • Inventory and production needs


13. Changes to Terms

We may update these Terms at any time. The “Last Updated” date reflects the current version. Continued use of our website means you accept any changes.
